In many ways, the transformation was far more than just a change in tools. Remote work is always about our willingness to be adaptable and to emphasise the importance of communication. It is critical to create a culture in which all employees feel engaged and empowered to work together.

We'll go over a ready-to-use suite of solutions and recommendations for both employers and employees to stay productive outside of the office.

1. Consistent Collaboration and Productivity

The primary step in implementing mandatory remote work and transitioning is to dive into organisational change and rethink how employees can collaborate. A review of the technology stack and confirmation that its throughput is sufficient for increased demand are required for a smooth transition.

A core set of solutions can differ from industry to industry and even from one company to the next. Nonetheless, almost every organisation finds a variety of tools and platforms useful when working on projects.

Use Google Docs, Microsoft Office 365 apps, or the iWork suite that comes with Apple devices to enable real-time collaboration among colleagues. You can control what each employee has access to based on the permission groups. You can, for example, restrict access to specific teams or individual team members.

Furthermore, document management and electronic form apps like PandaDoc, DocuSign, iAuditor, or ProntoForms can be useful when performing complex calculations and inspections or capturing and sharing signatures.

Cloud storage tools that allow employees to access critical work files and documents assist them in remaining productive and keeping their processes operational. File sync and share software, such as Microsoft OneDrive, Dropbox, G Suite, or Box, is a huge help in the virtual workplace.

Another set of tools that contribute to the creation of a collaborative, inclusive, and efficient WFH landscape is project and task management apps. They aid in the planning, monitoring, and sharing of project activities, as well as the visualisation of tasks. Consider platforms like Trello, Jira/Confluence, Basecamp, and Teamwork Projects.

Remember, as an employer, that home space is not the same as the office space, and your employees may require some assistance in adjusting. Not all of them can successfully transition to remote work with little supervision. As a result, provide your teams with well-written, clear instructions and ensure they understand how to connect to and use chosen tools from home.

2. Efficient Communication

Another key to successful and efficient remote work is regular and open communication with colleagues, clients, and partners.

When we're in the office, it's often easy to talk to each other. It could be a random stop by the watercooler to discuss the latest company changes or a strategic discussion in a meeting room. When switching to WFH, any of these stories necessitates a good set of tools.

Everyone can stay connected and share information thanks to a variety of communication apps. Use one of these conference tools and chat apps whenever you need to hold an online meeting, send updates, or discuss project details using screen sharing:

• Teams on Microsoft

• Zoom Cloud Meetings • Skype Meetings • RingCentral Meetings • Cisco Webex Meetings • Slack

Your business phone and number must be accessible while working remotely. With a Cloud Phone System, you can make and receive calls from your soft- and desktop phones from anywhere. Furthermore, your phone numbers, call flows, and configurations will remain the same as they were in the office. As a result, you don't need any additional settings or resources to keep it running. A cloud phone system can serve as a solid foundation for establishing an Intelligent Contact Center. You'll be able to keep track of your call centre productivity if you have access to call analytics and smart dashboards with reports. This way, you can assist employees in staying connected to clients while also allowing your company to remain flexible and efficient.

3. Safe Access

When company devices are used outside of the workplace, physical security must be considered. Use full-disk encryption and a strong password policy to protect against loss and theft. This will protect sensitive data from unauthorised access.

Another possibility is that the company allows employees to bring their own devices to work. To begin, always configure VPN to connect to critical corporate services to reduce man-in-the-middle attacks. Also, use multi-factor authentication to secure access, as well as endpoint security policies and tools to generate one-time codes. These actions improve security and allow authorised access.
